We are seeking a motivated and organised Production Co-ordinator who will play a crucial role in the planning and execution of events. You will work closely with the production team to ensure all aspects of the events run smoothly. Mostly, this job will be office based.
This is not a job for the faint-hearted as it can sometimes be a high-pressured environment.
However, it is the job for an organised person who is passionate about the detail, who is logistics driven and is up for a challenge and a great place to work.

Responsibilities

The Production Co-ordinator will support Project Managers and Producers on all projects and all aspects of each project as well as day to day administration. This will include:

1. Scheduling
Managing the production board
Taking minutes from Production meetings
2. Logistics
Co-ordinating logistics for UK and international events
Booking freelance crew, including booking local crew
Booking flights, transfers, hotels, and external vehicles.
3. Ordering and collection of equipment
Raising PO’s
Liaising with supplier
4. Assisting Account Managers and Event Producers to create seamless events.
Making sure paperwork is completed and filed
Supporting team members to ensure all event logistics are handled efficiently and in a timely manner.
5. Daily administrative office duties.
Handling phone enquiries
Production meetings
Office supplies.
6. Finance Data input.
Inputting supplier invoices
Managing managers credit card receipts
Liaising with book keeper
7. Documentation and Compliance
Creating and updating documentation, including Risk Assessments and Method Statements (RAMS)
ISO Quality Procedures, ensuring compliance with ISO 9001 standard.


8. Managing Social Media
Planning and creating content for Ground:zero’s LinkedIn, Facebook and Instagram p ages.

Skills

It’s imperative that you are passionate about making sure that the right people are in the right place with the right equipment at the right time with the right transport…and letting the team know about it.

It is most important that that the Production Co-ordinators has the following attributes:

1. Excellent organisational skills are a must have. You must have exceptional organisation skills with the ability to manage multiple tasks and effectively prioritise jobs.
2. Attention to Detail: Keen attention to detail to ensure all event information is inputted correctly and meticulously managed.
3. Clear communication skills. Excellent verbal and written communication is essential to ensure everyone is on the same page.
4. Hardworking and efficient
5. Work calmly under pressure. Some days the pressure is on. We are looking for people who can rise to the challenge.
6. Work without constant supervision. A proactive approach to working independently and take initiative.
7. Good time manager
8. A good team player. Ability to work as a core member of a team, building strong relationships and helping the team where needed.

The ideal candidate will have a passion for excelling at work, with attention to detail, enthusiasm, and a willingness to learn. Strong communication skills and the ability to work well within a team will also be key. Qualifications:
Experience: Previous experience in event coordination or a related field is not essential. An organised mind and being passionate about achieving great work is.
Technical Skills: Proficiency in Microsoft Office Suite and event management software. Any previous experience with TeamTrack and Current RMS is useful, but not essential. Training will be provided.
Driver's License: Valid driving license.
