Team Personal Assistant
Location : Southend with some attendance in City of London office
Type : permanent contract
Salary: to £30,000 + annual bonus + benefits
An established, independent, international Lloyd's broker with offices in Southend and the City of London. You will be based in the Southend office but will be required to attend the City Office when needed (travel costs will be paid).
Reporting directly to HR and Operations Supervisor & Directors you will be responsible for a diverse array of duties some examples include:
* Answering the telephone and transferring calls in a professional manner
* Preparing and administering stationary orders for the London and Southend teams
* Dealing with incoming and outgoing post & emails
* Assisting the Operations Supervisor with ongoing projects
* General office duties such as booking meeting rooms, welcoming clients to the office, ensuring the reception area and communal areas in the office are maintained to a high standard
* Complete expenses for Directors and senior level staff
* Keep the Gift and Hospitality spreadsheet up to date
* Arrange lunches and refreshments for meetings
* Relay any building problems or changes to building manager
* Provide End of Month Paper, Ink, Post and Petty Cash reports to accounts
* Act as the first point of contact in the London office
* Prepare desk space for new starters
* Organise and maintain company car duties and policies
* Scanning, photocopying, binding and franking
* Introduce new starters to the London office
* Be responsible for petty cash
* Organise any seasonal gifts on behalf of brokers
This is a pivotal position within a small company located across 2 offices.
Requirements
* Solid experience in office based PA / secretary / office co-ordination
* Proactive and adaptable
* Excellent knowledge of Microsoft products
* Strong organisation, time management and ability to prioritise
* Confident and professional communicator (written and verbal)
