Finance
• Manage and complete all necessary financial management tasks within the office such as invoicing to customers, managing incoming invoices, purchasing, supplier liaison, credit control and control of bank accounts
• Ensure the financial integrity of the business and it’s accounts by conducting regular reconciliations of all its accounts
• Provide financial statements and reports to the budget holders monthly and the management as and when required
• Provide information to the external accountant as part of their yearly audit
• Process payroll in a timely manner
• Process all income and received and pay into the bank on a regular basis • Manage all insurance policies
• Attend finance meetings
Office
• Day to day management of the office ensuring there is enough cover for adequate staffing levels during operating hours
• Establish and maintain office procedures and standards
• Assign tasks to staff and monitor progress
• Dealing with correspondence, complaints and queries
• Deal with bookings and ensure they are logged on the booking system (Cinolla)
• Ensure that the office is sufficiently stocked with resources
• Attend meetings as and when required
Health & Safety
• Develop and maintain H&S management system
• Manage and co-ordinate H&S audit
• Ensure compliance with H&S legislation
• Supervise facilities manager and technician and ensure that H&S checks are completed as required
• Conduct and oversee all facility risk assessments
• Arrange all H&S training for staff (and volunteers) as required
• Monitor, record and investigate accidents or incidents to discover causes and recommend solutions to prevent these happening again
• Attend H&S meetings
HR
• Manage the recruitment and selection process such as being the first point of contact for new applicants, writing job descriptions, preparing interview questions and application forms
• Ensure new starters are properly inducted
• Manage the online HR system including new starters, leavers and holiday allowance

Other
• Undertake any other duties as may be reasonably requested by Lower Grange Farm Management that ensure the ongoing operational success of the centre and delivery of excellent customer experiences
