A well established Law firm is looking for an Employment Legal Secretary who has had proven experince as a Legal Secretary.
You must have Excellent IT skills in particular Word. Basic Powerpoint and Excel would also be useful as would experience in working with a Practice Management System.
To ensure the smooth flow of documents and correspondence in and out of the Department.
To type legal documents either from scanned/manuscript hand-written notes or by transcribing digital dictation. Email correspondence and documents as required.
Undertake file management including opening and closing files and filing all relevant documents using iManage on a paperless basis. Preparing trial bundles. Answer the telephone, routine calls, respond to emails when fee earner otherwise engaged and taking new enquiries (when trainee unavailable) and messages.
Manage the Fee Earners' diary, organising internal and external meetings. Prepare and send out invoices for Fee Earners, when back from cashiers. Review ledgers and prepare reports and billing guides of matter and analyse time versus estimates and prepared reconciliations of costs billed and paid.
Liaise with cashiers on financial matters re billing, payments and receipts. Deal with routine aspects of file opening such as CMCs partial complete and chase up signatures on CCLs.
It is expected that, in accordance with business needs, you will provide support to other secretaries in your department or across the firm by picking up work or covering at times when your work load is light or your usual fee earner is away from the office for whatever reason or at times of urgent business need.
You are also expected to assist where appropriate on reception duties including preparing for client meetings and covering main reception at times of urgent business need. Any other reasonable duties assigned from time to time, including personal and confidential work as required.
