JOB TITLE: Executive Assistant

REPORTS TO: Chief Executive

CONTRACT: Permanent, Full Time.

SALARY: £25,000-£27,000 DOE

HOURS:37 per week

A leading organisation based close to Maidstone looking for an organised dynamic and driven individual to come onboard as an executive assistant, supporting the Chief executive and senior team with diary work, foundation governance administration and assist the CEO with new major project and research.

KEY RESULT AREAS

• To manage CEO’s internal & external diary commitments & correspondence, organising meeting rooms, presentation resources and catering as needed.

• To provide diary and administrative support as needed for Chair of Trustees.

• To lead on governance admin, liaising with Board members on meeting dates, taking minutes, collating and circulating agendas and papers for main Board, Enterprises Board & Finance & Audit Committee in a timely and accurate manner. To arrange meeting rooms, resources, catering, tours, visits, as needed.
• To support Deputy CEO/Head of Operations/Head of Sales/Marketing with diary/admin as needed.
• To maintain accurate & up to date electronic and paper files, ensure that business processes & CEO correspondence are up to date & GDPR compliant.
• To undertake research projects in support of CEO’s work as required, including support for fundraising bids.
• To arrange and take minutes for Health and Safety Committee, receiving and recording incident reports across the site and reporting on them quarterly.
• To provide efficient & accurate administrative support for major projects, compiling critical paths & agendas, taking minutes, organising meeting dates and associated resources and liaising with contractors as needed.
• Manage HR admin for CEO’s Direct Reports confidentially, including recruitment, induction, supply of leave/sickness records & to Payroll.
• To manage the annual Staff Survey process.

KNOWLEDGE, SKILLS, EXPERIENCE

Knowledge and Skills Personal qualities
An experienced PA at CEO level. Team player with a pragmatic attitude and strong time management skills
Extensive experience of professional administration. Excellent organiser, with keen attention to detail and deadlines
Experience of governance support - minutes, Trustee liaison. Analytical mind & ability to interpret data
Effective and proactive diary management. Good interpersonal & relationship building skills.
Ability to maintain accurate and confidential records. Works under own initiative and takes accountability for tasks.
Excellent written skills. A confident, professional communicator
Extremely computer literate, especially using the Microsoft Office suite. Confidential and discreet.




Preferred Person specification

• At least 2 years’ experience in similar role
• Experience in dealing with senior board members.
• Experienced in the administration of charity governance.
• Project Research Administration experience
• Experience in Health & Safety reporting
