Southborough Town Council is looking to recruit a Facilities Officer to join its Facilities Team at the new Hub Development in Southborough. The person will be required to work as part of a team and must have good interpersonal skills. You will need a flexible approach, as there will be additional tasks that you may be required to complete.



The post holder will be required to have a “hands-on approach” with regards to room bookings, set-ups and cleaning/ maintenance in the General Communal Areas, Community Rooms and Main Hall. Therefore, a good level of physical fitness is needed, as the role will require a lot of moving of equipment to provide services as the organisers or hirers may reasonably require. This position is for 37 hours per week, which will include evenings and weekends, with 22 days holiday. Salary will be £19,698 (SCP 6).

Facilities Officer


Salary (SCP 6 - £19,698)


Hours: 37 hours (including some evening and weekend hours)


Annual Leave: 22 days




To assist in the provision of facilities services for Southborough Town Council. Reporting to the Deputy Town Clerk in the first instance. To work within the Facilities Team to help produce events, take room bookings, and provide facilities support as required. To provide a first point of contact for hirers or visitors to the Council’s Community Rooms and Main Hall. Some general administration duties associated with bookings and events will be required.


You will need to be able to work well on your own initiative, with a proactive attitude.


You will need to be adaptable & flexible to support events and other staff at short notice.




General duties will include:


The post holder will be required to have a “hands-on approach” with regards to room set-ups and cleaning/ maintenance in the General Communal Areas, Community Rooms and Main Hall. Moving of equipment in accordance with correct manual handling to provide services as the organisers/ hirers may reasonably require.


To deal with enquiries from external customers or visitors, in person or by telephone, regarding room bookings, maintenance issues, other requirements, equipment requests and security arrangements, both within the Council Office and Reception Areas.


Having a competent knowledge of the Council’s booking system regarding all room bookings, room requirements and set-ups, that are to be held within the Community Rooms and Main Hall.


To ensure all functions held are run under the correct conditions set out in the ‘Conditions of Hire’ and ensure any contravention is dealt with promptly and appropriately. The post holder will be a key holder for designated areas within the main buildings.


To assist with the security of buildings, including opening/locking up, and setting of alarms.


To assist in organising of procedures for an emergency evacuation. To act as Fire Marshal in the event of an emergency.


To work evenings and some weekends as required. The buildings are expected to be open from 7.00am until end of last meeting or function (a shift rota is in operation).


General office administration duties to include data inputting, filing & photocopying.
To provide basic cover for the office and other areas, which includes sickness/holiday cover, evenings/weekends, as necessary.


To undertake regular stock takes /equipment checks/ supplies checks for the Council’s buildings, or as instructed.


To undertake the cleaning of General Communal Areas, Community Rooms and Main Hall and fixtures when required, and to manage any complaints received.


To monitor standards of cleanliness and always ensure compliance with health & safety legislation.


The Council reserves the right to amend or add to the core responsibilities.
