Our small IT company needs a reliable, organised Office Assistant to manage the day-to-day administrative aspects of running Iconology. The successful applicant will have a positive attitude, a desire to work as efficiently as possible, and excellent client-facing communication skills. We’re looking for someone who can operate effectively with little or no supervision and who can manage multiple tasks at once without becoming overwhelmed.
Working Hours
Monday to Friday / 9am to 3pm (Can extend to 5:30pm) Not including public and bank holidays
Responsibilities and Duties
• Answer phones and direct calls as required
• Read all emails that are sent to our common email address and direct where required
• Design and maintain filing and storage systems in the office and electronically
• Schedule calendar/travel arrangements for staff as well as clients, when applicable
• Greet clients and vendors upon arrival when required
• Maintain office supply inventory
• Retrieve documents and files when requested
• Read and route incoming mail and process outgoing mail
• Create, edit, and update documentation
• Organise delivery and pickup of goods and equipment
• Use the CMS to assist with inputting data. E.g. Customer contact details, and sale costs
• Search for competitive prices for stock and sales and services that Iconology has and provides
• Assist in the creation of advertisements for Iconology e.g. update LinkedIn with new services
• Assist in improving Iconology’s procedures and flow of information for the business
• Assist with sales of Iconology's products and services
Qualifications and Skills
• 2+ years’ experience in an administrative capacity
• Excellent spelling and grammar skills
• Pleasant, friendly disposition
• Strong interpersonal communication skills
• Familiarity with IT and technology is a plus
