Under the direct supervision of the Director of Operations, this position provides administrative and clerical support to Directors and to the department. In addition to typing, filing and scheduling, performs duties such as record keeping, coordination of meetings and enquiries and working on special projects. This position will also answer non-routine correspondence and handle highly confidential and sensitive information. The successful candidate will deal with a diverse group of important external callers and visitors, as well as internal contacts at all levels of the company. Independent judgement is required to plan, prioritise and organise a diversified workload.

The most qualified candidate for this role will have experience assisting within a customer service environment. This position also requires understanding of office productivity applications, such as Microsoft Office and Windows operations systems. The candidate must be reliable, flexible, people-orientated, friendly, patient, fast learning, quick thinking and illustrate initiative and responsibility. We pride ourselves on providing our customers with great and honest customer service and a high level of productivity within a fast-paced environment, is a necessity.

Responsibilities will include (but not be limited to):

 Performs administrative and clerical tasks
 Assists with initial client technical and operational discussions
 Assists with project communication and documentation
 Facilitates follow up calls and meetings
 Takes notes during meetings, both internally and with customers
 Assists with customer account set up and performs documentation of client profile information in our master reference system and all associated client contacts for support matrix
 Assist with proactive client outreach initiatives
 Documents correspondence with clients in the Ryebrook Customer Relationship Management (CRM) systems
 Assists with overseeing and management of tasks related to project completion
 To handle and execute the company procurement decisions, all while maintaining adequate stock levels and staying within budget
 To assist and monitor company Health and Safety records, documentation and training

Preferred Skills:

 Work independently as well as in a collaborative environment
 Customer service orientated
 Communication skills – written, verbal and presentation
 Planning, organising and diary management
 Prioritising
 Problem assessment and solving
 Information gathering and monitoring
 Attention to detail and accuracy
 Flexibility and adaptability
 Computer skills and knowledge of the relevant software
