Churchill House Summer Centres operates English Language and activity summer schools at locations around the UK. Our clients come from many different nations and it is our responsibility to ensure that they receive high levels of service and care while they are at our schools.

The Operations Coordinator provides planning/delivery support to management and, in particular, coordinates, facilitates and manages the activity programmes at these centres by planning excursions in advance – making bookings with venues and transport companies and providing booking information to the centres. In this aspect, the Operations Coordinator manages the duties of activities staff at our summer schools.
Should the candidate take the option of working on a year-round, annualised basis they will be involved in planning for future years, marketing, programme design and recruitment.

Specific Duties:


  • General Operations Planning






Administrative Duties:

  • Keep complete and up-to-date records on all activity bookings using the Data Store database

  • Provide accurate and up-to-date financial information to the SCD and the Accounts Manager on request

  • Assist the Deputy SCD in ensuring compliance with British Council policies

  • Other duties as required



Activity Programme Management:

  • Plan and prepare activity programmes for all Churchill House Summer Centres

  • Prepare additional sales materials for programme (leaflets, specialised programmes etc.)

  • Book venues and transport for excursions

  • Arrange timetables for half and full day excursions

  • Ensure Activities at the centres (income/expenditure) remain within budget

  • Provide support and supervision to Activity Managers, escalating any problems to the SCD

  • Assist in training Activity Managers



Quality Control:

  • Assess student/GL feedback on activity programme and suggest/implement changes at a local and HO level

  • Meet Group Leaders and Management at the centre to check quality of service, auctioning changes as necessary<

Recruitment Administration:

  • Assisting with the recruitment of activity staff, as required



Application of Safeguarding Policy:

  • Ensure that the company’s Safeguarding Policy is followed at all times

  • Ensure that company Health & Safety policies are followed e.g. Risk Assessments for activities are completed, no excursion takes place without safety/security procedures in place

  • Complete Online safeguarding and Prevent courses



Supporting Management Team:

  • Provide accurate and complete information to senior staff on request

  • Escalate any issues relating to staff behaviour/performance, Health & Safety, financial issues to the appropriate manager immediately



Management Training:

  • Assist with the administration of the management training provided to Centre Managers

  • Deliver training sessions to Activity Managers on company activities standards and internal booking systems

Length of Contract:
The length and type of contract can fit the needs of the candidate. If you are invited for interview we are happy to discuss options with you.

1) Temporary fixed term contract to the end of September 2019, with opportunity to extend at the end of the term.

2) Permanent annualised hours contract. This would suit a candidate in education as we envisage the candidate would work full time from May/June to August with much reduced hours (10-15 hours per week) for the remainder of the year.

Hours of Work:
9am to 5:30pm Monday to Friday (1 hour lunch break) plus 8:30 to 12:30 Saturdays (July only). Must remain contactable during the summer operational period for emergency activity issues (30 June to 18 August). Time off in Lieu can be claimed for out-of-hours emergencies. TOIL and holiday may not be taken during the summer operational period (20th of June to 20th of August) but payment in lieu may be agreed at the end of the contract.

Annualised Hours option only: June to August period as above. September to May 10-15 hours per week. Working arrangements can be flexible from September to May and some home working is possible.


Required Education, Skills and Qualifications:

Personal Attributes:

· Confidence
· Good Communicator; able to communicate confidently to people of all nationalities either in person or by phone
· Excellent organisational and administrative skills
· Ability to prioritise tasks during busy periods

· Diplomacy and tact

Attainments/Competencies:
· Ability to speak English clearly and coherently to groups of people
· Good understanding of Microsoft Office

Qualifications:
· Good standard of general education

Previous Experience:
· Experience of working in a busy office environment
· Activity or event management experience

Professional Development:
Training will be provided in-house but there may be opportunities of external training courses, for which travel will be provided.
