Salary: £29,000

Hours: Full time - Monday to Friday. Our regular office hours are 10am - 6pm but flexibility is welcomed and to be discussed. Some duties may require additional weekend and evening working for which Time Off In Lieu is given.

Base: Anywhere. We are currently working 1 x day per week at Battersea Arts Centre and most of the time remotely. We are working towards a new home at Bore Place in Kent so we will also regularly gather there. We make shows all over the country and the world.

We are looking for a new member of our Improbable team, an Administrator. We’re at an exciting moment in the company’s story - we’re making shows like My Neighbour Totoro with the RSC and An Improbable Musical which is touring this Autumn. We’re running Devoted and Disgruntled, starting new programmes of work like Improbable for Business and importantly following clues for The Gathering, our search for a home.

We’re looking for a couple of new team members at the moment and one of these is the Administrator. This role has some tasks associated with it like financial administration, managing Improbable communications and helping us organise across the organisation. You can read the job specification here which tells you about the tasks we imagine this person regularly working on.

However, we are looking for someone who also enjoys the irregular and responsive nature of working in a small, pretty fast-paced and busy team, someone who loves getting stuck in. On any given week you might be pulling together data for the Arts Council, be documenting the rehearsal room, sorting out visas for one of our Artistic Directors, talking to students, taking a pair of stilts across London, running payroll, supporting an Open Space event, updating the website, scheduling rehearsals, researching different types of sellotape.

What the job spec doesn’t tell you about is the spirit of the company, so here is our Spirit Ad. Not to list the spirit needed by the person in the role because the specific thing about spirit is that it does not belong to anyone. It exists between people. An understanding of this is at the heart of the company's practice, that the brilliance of the work, be that an Opera, an Impro, or an Open Space event, does not lie in any one person's singular stellar performance, but in the atmosphere between the players, even amongst the audience - between all the participants, it emerges. Job Specification

We are looking for a collaborator to join our team. Below you will find some specifics about the job. Just as important is finding someone who is excited about the work and spirit of the company, so read our Spirit Ad too at the bottom of this page.

We are purposefully keeping this job specification as light as possible to encourage people from as broad a range of backgrounds as possible to apply. You might have worked in theatre before, you might not. You might have a degree, A levels, GCSEs etc, you might not. You might be at the start of your career or part-way through.

We do not expect you to have experience in all of these things and we will offer any training needed to the person who joins us.


About the Role

This role holds the general administrative lead across the organisation responsible to the Executive Director. You will support:

the Executive Director with the day to day running of the organisation including leading on financial administration and communications

the Artistic Directors with PA responsibilities e.g. scheduling and diary management, travel bookings etc

the Executive Producer with project management tasks relating to productions, tours and other projects

Finance

Under the guidance of the Executive Director, to implement the day-to-day financial administration of Improbable including:

Day to day bookkeeping and bank / credit card reconciliation using accounts package Xero

Maintaining systems for petty cash and expenses management

Raising invoices as required

Payment of invoices

Preparing reports for the Executive Director and assisting in the preparation of quarterly management accounts and end of year finance

Preparing financial reports and supporting the Open Space Producer and Executive Producer with maintaining running budgets

Run Payroll monthly and prepare quarterly VAT returns


General and Production Administration

To assist the team in ensuring the smooth day-to-day running of Improbable, including:

Provide PA support to the co-Artistic Directors including diary management, travel and accommodation booking, expenses management

Support programmes led by our Associate Artists. Specifically Associate Director Matilda Leyser in day-to-day running of Mothers Who Make, including general admin, fundraising admin support and project bookings

Provide first point of contact for people contacting the Improbable office, as well as managing the office@ email address

Managing data collection and assisting with reporting for Arts Council England and other funders

Running Improbable’s database and mailing lists, ensuring compliance with data protection legislation

Support the Executive Director with scheduling Board meetings and taking minutes at meetings

Support with programme delivery for example finding and booking rehearsal rooms, travel, visas and accommodation, and practical arrangements for rehearsals and events as required

Marketing and Communications

To look after the day-to-day delivery of Improbable’s marketing and communications strategy supported by the rest of the team. This includes:

Drafting and sending monthly newsletters for Improbable including Devoted and Disgruntled, Mothers Who Make and Supporters’ newsletters

Maintaining, creating and co-ordinating regular content for Improbable’s social media profiles (Twitter, Facebook, Instagram)

Website maintenance, including uploading copy and images and keeping the website up to date for Improbable, Devoted and Disgruntled and Mothers Who Make web pages.

Assisting the Executive Producer with co-ordination of print, marketing packs and images, for example making sure that touring venues have publicity materials for shows for deadlines

General

To be an ambassador for the Company and act on Improbable’s values and principles

To fulfil any other duties as reasonably requested by the Executive Director, Executive Producer or Co-Artistic Directors

To bring strong and demonstrable experience in at least one of the key areas of the role - finance, communications, or administration
